Pay-When-Paid Solution
The pay-when-paid solution links customer invoices to vendor bills to ensure vendor bills do not get paid until customer payment has been received. Companies can incorporate additional payment clause criteria for releasing payment holds on vendor bills.
Staffing, services and construction firms are some of the industries that can use Pay-When-Paid to ensure that they’re only paying their vendor bills once they've been paid. The solution also allows for additional compliance requirement checks for specific documents (i.e., W-9s, sub-agreements, COIs, etc.) before releasing bill payment holds.
AP Vendor Payments Automation Solution
With this solution, the event script runs after vendor payment is submitted and gathers the information about related bills and expenses from the applied sub-list. It then loads each referenced record (e.g., vendor bills, expense reports, journal entries, etc.). The solution then automatically retrieves sub-list details (accounts, memos, location and amounts) and formats them into the necessary string (format).
Finally, the solution saves that string format back to a custom body field on the vendor payment for easy reference of applied transactions and their amounts. This gives companies more visibility of transaction lines where vendor payments are applied compared to native NetSuite, which only provides header level information. Vursor developed this solution for companies that require their vendor payment vouchers to include a breakdown of the paid expenses—a process that’s commonly used by staffing and services businesses.
Dunning Automation Solution.
This event script updates the dunning custom record that contains the email information to be sent per invoice. Companies use it to circumvent the Dunning Letters NetSuite module, which sends notices to all dunning contacts.
This is a favorite customization for NetSuite users that requires overdue invoices to be sent to selected contacts based on the client’s dunning level. It’s also useful for companies in wholesale distribution, manufacturing and construction, most of which require their lower-level dunning to be excluded from dunning.
Journal Entry Import Automation
The solution uses multiple scripts to automate the journal entry import process. Here’s how it works: map/reduce script is triggered when the user clicks a button on a journal entry, passing a specific deployment ID. A user event script then dynamically adds those buttons and shows a confirmation message after triggering the task.
The final script looks for a single CSV file in a designation folder and auto-creates a journal entry. This solution automates the entire creation of journal entries from a CSV file uploaded to the file cabinet, which isn’t possible with native NetSuite. It’s extremely useful for any company that has a large volume of monthly journal entries and needs a more automated process for managing them.
Amortization Automation Solution
This script automatically sets each journal entry line's memo field to match the memo found on the related vendor bill. It also determines the vendor bill by matching the journal entry line's amortization schedule to the corresponding schedule on a vendor bill, retrieves that bill's memo, and updates the journal entry line if a match is found.
Any company that uses NetSuite's Amortization Schedule functionality—and that requires automation—will benefit from this solution, which improves reconciliation between amortization journal entries and source transactions.
Email Purchase Order Approvals Solution
This solution creates a purchase order (PO) and sends an email to the customer. When the user replies through email with a response of “yes” or “no,” the solution automatically either approves or rejects the PO.
